Overview

Votars integrates with your third-party calendars (Google Calendar, Microsoft Outlook) to streamline your meeting transcription needs. This feature allows Votars to sync your meeting schedules, automatically join meetings to record and transcribe, and provide easy access to your transcripts directly through your calendar.

Syncing Your Calendar

1. Third-Party Integration:
   • Google Calendar: Sync your Google Calendar to pull in your meeting schedules.
   • Microsoft Outlook: Sync your Microsoft Outlook Calendar to access your meeting schedules.
2. Filtering Events: Only scheduled meetings are synced and displayed in Votars. All unrelated calendar events are filtered out during the sync process.

Viewing Meeting Schedules

• Meeting Overview: View a list of upcoming meetings directly in Votars. This helps keep track of all your important meetings in one place.

Auto Record by Bot

• Automatic Recording: Enable the Auto Record feature to allow Votars' Bot to automatically join and record your meetings.
• Manual Toggle: You can manually enable or disable the Auto Record feature for each meeting.

Post-Meeting Access

• Transcripts: After a meeting concludes, access the transcript directly from the calendar in Votars.
• Editing and Reviewing: Easily review and edit the transcription to ensure accuracy and completeness.

Global Settings

• Default Auto Record: In the global settings, you can set whether meetings should be automatically recorded by default. This setting can be overridden for individual meetings.
• Default Transcription Language: Set the default language for transcriptions in the global settings. This ensures the transcriptions are in your preferred language.

How to Use

1. Sync Your Calendar:
   • Go to the Calendar Integration settings in Votars.
   • Select your calendar provider (Google or Microsoft).
   • Follow the prompts to authenticate and sync your calendar.
2. Set Global Defaults:
   • Navigate to Global Settings in Votars.
   • Set the default for Auto Record to enable or disable automatic recordings.
   • Select your preferred default transcription language.
3. Enable Auto Record for Specific Meetings:
   • Navigate to your meeting schedule in Votars.
   • For each meeting, toggle the Auto Record feature on or off as needed.
4. Access Transcripts:
   • After your meeting ends, go to the calendar in Votars.
   • Find the meeting to access the transcribed file.
   • Review and edit the transcript directly in Votars.

By integrating your calendar with Votars and setting your global defaults, you can ensure all your important meetings are recorded and transcribed in your preferred language without any hassle, allowing you to focus on the content of your discussions instead of note-taking.
