1. Google Calendar Integration

Automated Meeting Retrieval and Transcription

  1. Connect Google Calendar:
    • From the Votars dashboard, click the “Setting” button in the bottom left corner, and navigate to the “Integrations” section.
    • Click “Google Calendar” and follow the on-screen instructions to connect your Google Calendar account to Votars.
  2. Retrieve Meetings:
    • Once connected, Votars will automatically retrieve your upcoming meetings from your Google Calendar.
    • You can view these meetings in the Votars interface under the “Meetings” tab.
  3. Enable Auto-Transcription:
    • Enable the “Auto-Transcription” feature for selected meetings.
    • Votars Bot will automatically join these meetings at the scheduled start time and begin recording and transcribing the session.
  4. No User Action Required:
    • Users do not need to take any manual actions for recordings. The Bot will handle everything, even if the user does not join the meeting themselves.

Cancel Authorization:

  1. Cancel Google Calendar Authorization:
    • Return to the “Setting” button in the “Integrations” section.
    • Click the “Cancel Authorization” button next to “Google Calendar” and confirm the cancellation to disconnect the account.

2. Microsoft Calendar Integration

Automated Meeting Retrieval and Transcription

  1. Connect Microsoft Calendar:
    • From the Votars dashboard, click the “Setting” button in the bottom left corner, and navigate to the “Integrations” section.
    • Click “Microsoft Calendar” and follow the on-screen instructions to connect your Microsoft Calendar account to Votars.
  2. Retrieve Meetings:
    • Once connected, Votars will automatically retrieve your upcoming meetings from your Microsoft Calendar.
    • You can view these meetings in the Votars interface under the “Meetings” tab.
  3. Enable Auto-Transcription:
    • Enable the “Auto-Transcription” feature for selected meetings.
    • Votars Bot will automatically join these meetings at the scheduled start time and begin recording and transcribing the session.
  4. No User Action Required:
    • Users do not need to take any manual actions for recordings. The Bot will handle everything, even if the user does not join the meeting themselves.

3. Zoom Integration

Seamless Recording Process

  1. Connect Zoom Account:
    • From the Votars dashboard, click the “Setting” button in the bottom left corner, and navigate to the “Integrations” section.
    • Click “Zoom” and follow the on-screen instructions to connect your Zoom account to Votars.
  2. Automatic Bot Entry and Recording:
    • Once connected, Votars Bot can automatically join your Zoom meetings. To ensure a seamless experience, we highly recommend granting OAuth permissions for recording.
  3. Recording Consent via OAuth Permissions:
    • Granting OAuth permissions allows the Bot to start recording automatically without needing manual consent from the host for each meeting. This also enables the Bot to record the meeting even if the host is not present.
    • By default, Zoom requires the meeting host to manually grant recording permission at the start of each meeting, which can introduce user friction and potential recording errors. Therefore, using OAuth permissions simplifies and streamlines the recording process.

Cancel Authorization:

  1. Login to your Zoom Account and navigate to the Zoom App Marketplace
  2. Click Manage > Installed Apps, or search for the Votars app.
  3. Click on the Votars app.
  4. Click uninstall.
